We inform you that you can exercise the rights of access, rectification, deletion, opposition, limitation of treatment and portability of the personal data that you have provided us.   • Purpose of the treatment: to manage the economic activity of the company according to current legislation on tax and commercial matters.
  • Basis that legitimizes the treatment: legitimate interest of our organization (the treatment is necessary for the execution of a contract in which the interested party is a party or for the application at his request of pre-contractual measures, and the treatment is necessary for the fulfillment of a legal obligation applicable to the person responsible for the treatment).
  • Data transfers to third parties: if necessary, to the public administration with competence in the matter, such as the Tax Agency or Social Security.
  • Data retention period: that required by the public administration until the expiration of responsibilities.

  • Vitae and evaluation of your candidacy for vacant job positions in our organization.
  • Origin of the data: provided by the interested party, through forms provided for this purpose on the website, or information transmitted to the organization by email or telephone.
  • Purpose of the treatment: evaluation of job applications in our organization.
  • Basis that legitimizes the treatment: legitimate interest of our organization (the treatment is necessary for the execution of a contract in which the interested party is a party or for the application at the request of the latter of pre-contractual measures).
  • Data transfers to third parties: transfers of the information provided to third parties outside our organization are not contemplated.
  • Data retention period: less than one year if it is observed that the applicant’s profile can be adjusted to present or future needs of the company. In the event that the profile does not meet the needs of the company, it will proceed to immediate destruction.

6. Management of the employment relationship with our employees.

  • Origin of the data: provided by the interested party or by their legal representative, by email or by phone.
  • Purpose of the treatment: manage the employment relationship with our employees.
  • Basis that legitimizes the treatment: legitimate interest of our organization (the treatment is necessary for the execution of a contract in which the interested party is a party or for the application at his request of pre-contractual measures, and the treatment is necessary for the fulfillment of a legal obligation applicable to the person responsible for the treatment).
  • Data transfers to third parties: if necessary, to the public administration with competence in the matter, such as the Tax Agency or Social Security.
  • Data retention period: less than six months, unless your request results in an action that requires, for legal reasons, to be kept for a longer period of time.

7. Video surveillance of the facilities.

  • Origin of the data: provided by the interested party when accessing, or trying to access, the facilities in which video surveillance devices are available.
  • Purpose of the treatment: safety of people, goods and facilities.
  • Basis that legitimizes the treatment: legitimate interest of our organization.
  • Data transfers to third parties: security forces and bodies.
  • Data retention period: one month from collection.


8. Management of the complaints channel
Management of the complaints channel

Purpose of the processing: the purpose of the processing is the reception and management of complaints made regarding regulatory non-compliance or indications of the commission of criminal offenses in the company in compliance with the provisions of Law 2/23 of February 20, regulating the protection of people who report regulatory violations and the fight against corruption.

Legal basis for processing: Compliance with a legal obligation on the part of ARA VINC GESTIÓ DOCUMENTAL, S.L. GDPR art. 6.1c
Personal data that are not necessary for the knowledge and investigation of the actions or omissions referred to in article 2 of law 2/2023 on the protection of informants be subject to processing, proceeding, where appropriate, to its immediate suppression.
All personal data that may have been communicated and that refer to conduct that is not included in the scope of application of the law will be deleted.

If the information received contains personal data included within the special categories of data, it will be immediately deleted, without proceeding to its registration and processing.

Conservation period: The data will be kept in the complaints channel system only for the time necessary to decide whether to initiate an investigation into the reported events. In any case, after three months from receipt of the communication without investigation actions having been initiated, it will be anonymized in order to leave evidence of the operation of the system.

The company has a record book of information and investigation of the information received, guaranteeing its confidentiality as legally established and preserving personal data for a period of no more than ten years.

Access to data and transfer of data to third parties You will have access to the information sent by the interested party, the person responsible for the internal information system, as well as the collaborators authorized by the latter to carry out the appropriate management and investigation.

The data will be communicated to third parties, such as State Security Forces and Corps, prosecutor’s office and national or European judicial authorities, when it is necessary for the adoption of possible corrective measures in the entity or the processing of sanctioning or criminal procedures that, in their case, proceed.


Data Protection Rights:

The interested party, in relation to the data that is processed by Ara Vinc Gestió Documental S.L., has the possibility to freely and freely exercise the following rights:

  • Access your personal data.
  • Rectify your personal data when they are inaccurate or incomplete.
  • Delete your personal data when they are not necessary for the purposes for which they were collected, among other reasons.
